Oakmere Homes uses secure Artificial Intelligence (AI) tools to support day-to-day business operations, including internal communications, report preparation, and customer service management. These tools are used to improve accuracy, efficiency, and consistency in the way we manage information.

We currently use Microsoft Copilot (within our Microsoft 365 environment) and OpenAI's ChatGPT Business Plan. Both are used in accordance with UK data protection law and Oakmere Homes' internal Data Protection Impact Assessment and AI Usage Policy.

Any personal data processed by these systems is handled securely and lawfully. Oakmere Homes ensures that:

  • AI tools are used only for legitimate business purposes;

  • Data entered into these systems is limited to what is necessary and, where possible, anonymised;

  • Information processed through AI systems is not used for model training or profiling;

  • All AI providers used by Oakmere Homes (including Microsoft and OpenAI) act as data processors under strict contractual and technical safeguards compliant with the UK GDPR;

  • Data remains stored within secure environments such as Microsoft 365 and is not shared externally without a lawful basis

AI is used as a support tool, not to make automated decisions about individuals. All outputs are reviewed by Oakmere Homes staff being being used for any official purpose.
